April 2015 - ScoutLink Version 1.2.8 Print E-mail

Please be advised that ScoutLink version 1.2.8 has been installed on 14 April 2015.

This version has several enhancements, particularly privacy enhancements. Following you will find the Release Notes that detail the changes.

ScoutLink Release Notes - Version 1.2.8

Privacy Enhancements

a. This upgrade replaces the password visible to users with "Edit" permission with asterisks. No passwords will be visible to users anymore.

b. The system no longer creates a default password when creating a new member. 

c. Phone numbers that are 'silent' are no longer visible.

Appointment Changes

d. An 'Appointment Review Date' has been added to the Miscellaneous tab.

Other Changes

e. New Titles are now available in member records and parent details.

f. The e-Learning trigger enhancement is now activated and ScoutLink should automatically send e-mails to members once they've been cleared.

 

 
February 2015 -ScoutLink Update Print E-mail

ScoutLink is now well and truly entrenched in the Day to Day operations of Scouts Australia NSW and the system is now being rolled out to all formations across 2015.

Achievements to Date

  • All State and Region Offices are now using ScoutLink to manage the membership base, including invoicing and census processes.
  • The trial of 23 Scout Groups has concluded successfully. These groups will continue to use ScoutLink ahead of their regions 'linking up' later this year.
  • The support service at State Office is now in place and ready to provide assistance.
  • Training for GWS Region, North West Region and State Team has been organised for February and Early March. GWS Region and the State Team will link up as of the 1st March and North West as of the 1st April.
  • Planning is underway for Hume, Riverina and North Coast Region to complete training in March ahead of linking up on the 1st April.
  • ScoutLink is now communicating regularly with Scout Central for all Venturers, Rovers and Leaders. As advised by the Assistant Chief Commissioner (Adult Training & Development) last year, all Rovers and Leaders now have access to e-learning.

Next Steps

  • We are currently in the initial stages of planning the 'link up' for all remaining regions and this will roll out between now and the start of August this year.
  • As we go through each region, we are checking all the data we hold for correctness and integrity, a process that will ensure our database continues to remain accurate and relevant.
  • The development of our new extranet is about to commence, providing a new online presence for Scouts Australia NSW as well as a single sign on and password recovery for ScoutLink.

Just as importantly, the ScoutLink project remains on time and under budget. The strong partnership between the ScoutLink Working Group, Employed Staff and Unformed Members has ensured that this project continues to meet the expectations of Scouts Australia NSW for a membership system. We look forward to finalising Phase 2 this year as well as future developments that will continue to allow us to focus less on administration and more on Scouting.

September 2014 - ScoutLink Update Print E-mail

Scouts Australia NSW continues its work on the new on-line membership system, ScoutLink, to assist Group Leaders/Leaders in Charge with some of the administration that comes along with Scouting.

This update is to share with our membership some of the achievements to date and some of the next steps for our new membership system.

  • All data has successfully transitioned to ScoutLink, the new on-line membership system and the old membership database (MIS) is no longer in use for all areas relating to membership and training.
  • Employed staff at the State and Region Offices completed training on ScoutLink and they actively continue to test and verify information in the new system during this transition period.
  • ScoutLink will go live on October 1, 2014 and Employed Staff will be using the system from that date.
  • Training for the 25 nominated Scout Groups and the ScoutLink Champions will commence training in October.
  • The ScoutLink Team has targeted November 1 as the start date for the 25 nominated Scout Groups starting to interact with ScoutLink directly.

While the Employed Staff will use the system from October 1, there will be no change to current business processes for Scout Groups.

Next Steps - Phase 2:

  • The ScoutLink Team are working with Region Commissioners to plan training and rollout to all Regions in 2015, subject to a successful pilot period.

The achievement of the milestones to date represents both a strong and collaborative effort by the ScoutLink Team as well as the beginning of a new way of managing the data of our Scouting Members. The ScoutLink Team looks forward to the project continuing to build on its strengths, and we look forward to a successful roll out of Phase 2.

ScoutLink Update

Scouts Australia NSW continues its work on the new on-line membership system, ScoutLink, to assist Group Leaders/Leaders in Charge with some of the administration that comes along with Scouting.

This update is to share with our membership some of the achievements to date and some of the next steps for our new membership system.

  • The production server has been set up so our team can thoroughly test the data and the system.
  • The ScoutLink team at the State Office is closing off the testing actions.
  • Preparation for the first phase of testing for State and Region Office staff is underway and scheduled for delivery in mid-August.

Next Steps

  • The ScoutLink Team has targeted October 1, 2014 as a go live date for the employees from State and Region Offices.
  • Training for the 25 Nominated Scout Groups and ScoutLink Champions will also commence in October 2014 so that they can use ScoutLink from November 2014.
  • A comprehensive roll out to all Scout Groups is being planned from 2015.
