What can the Active Kids voucher go towards?

The $100 Active Kids voucher goes towards covering Scouts NSW membership fees. It does not cover individual items such as uniforms, activity costs and travel costs, or your Group fees.

When can I claim my Active Kids voucher?

Parents can redeem their Active Kids voucher and claim it with Scouts any time throughout the year.

For example, if a voucher is claimed with Scouts in November, it can be used to cover $100 worth of membership fees up until November of the following year.

Can I claim an Active Kids voucher for multiple providers?

No. The voucher cannot be split between multiple clubs or registrations.

How does the Active Kids rebate work for existing members?

When an Active Kids voucher is claimed by an existing Scouts NSW member, the voucher number is included in their membership record. The member’s Active Kids rebate credit will appear on their Scout Group’s quarterly invoice from Scouts NSW.

I am considering transferring my child from one Scout Group to another. Should I wait to claim his voucher after he has been transferred?

When an Active Kids voucher is claimed by a Scout member, the voucher number is included in their membership record. If the Scout member decides to transfer to another Group, the claimed Active Kids voucher will stay with the member’s membership record, and any remaining Active Kids rebate credit will appear on the transferred Scout Group’s invoice.

Where do I find my child’s membership number?

Please contact your Group Leader – they should be able to provide you with your child’s Scouts NSW membership number.

I have claimed my child’s Active Kids voucher with Scouts NSW via the online form, and received a copy of my submission in my email. When reading over details I realised I made an error in one of the questions. Who do I contact to correct the details?

If you have identified an error in your Active Kids voucher claim, please DO NOT resubmit a new application. Please reply to the submission email sent to your inbox, noting the correction required. Our Members Services Team will then amend your original submission with these details, and prepare it for processing.

Processing Your Voucher

I have claimed my child’s Active Kids voucher with Scouts NSW via the online form. When following up with my Group Leader, I was informed that my child was not listed as someone who has claimed the voucher. What do I do?

Our Members Services Team processes Active Kids voucher claims on “first come, first serve” basis. If your child’s name has not been listed, this may be because:

  1. The claim is still being processed, or
  2. There is an error in the details you have provided in your submission.

In both cases, please DO NOT resubmit a new claim. Our Members Services Team aims to process all submissions promptly, and will be in contact with you directly via phone or email if there are any issues with your submission. If you would like to speak to the Members Services team, please call 9735 9000.

Fees

I’ve just received an invoice from my Scout Group and there is money owing. Why is this the case?

The Active Kids voucher goes towards covering your Scouts NSW membership fees, which equal $41 per quarter. Any additional amounts on your invoice will reflect your Group fees. Please speak to your Group Leader if you have any questions regarding your invoice.

How does the Active Kids rebate work for new members?

New Youth Members who join Scouts NSW from 31 January 2018 to 31 December 2018 will have 100% of their Active Kids voucher applied to their first invoice.

Below is a detailed breakdown of billing for new members.

Does the youth member need to be registered and have a Scouts membership number prior to claiming the voucher?

The youth member’s parents can claim their voucher with Service NSW now, but Scouts NSW cannot validate it until the member is on the ScoutLink database.

We have had about 15 new youth members that have come along this year to try Scouting. What is the position for them in regards to Active Kids?

We suggest that you encourage the parents to claim the voucher with Scouts NSW as soon as possible. The parents can attach their voucher from Service NSW to the Y1 form, and the Region Office can fill in the online form for them, or the parents can wait until they have a membership number to fill in the online form.

A new youth member claimed their Active Kids voucher when joining our Scout Group. Why is the member’s name not showing on our Group’s weekly report?

New Members must have a member record in ScoutLink before an Active Kids Rebate Voucher can be validated and applied to their account. Vouchers that are received will not be processed until the Y1 form is received at the Region Office and the new member record is created on ScoutLink.

Fees

If parents decide to claim their child’s Active Kids voucher now, do the fees for Term 1 (billing date 1st January 2018) still need to paid?

If a child joins Scouts this term and their voucher is validated before the next invoice on 1 April 2018, the voucher will be deducted from any Scouts NSW membership fees.

If a youth member redeems their Active Kids voucher in Quarter 3, is it true that they will only get $82 credit as the voucher needs to be used within the calendar year?

That is not the case. Scouts NSW will apply the monies to the membership fees that follow the redemption of the Active Kids voucher. If a youth member redeems their voucher towards the end of the year and then again early in the next year, the voucher will be applied to the subsequent registration fees.

Where can I receive a copy of the Group Leader Information Pack?

A digital copy of the Group Leader Information Pack is available on the Active Kids webpage. If you did not receive a hardcopy Active Kids Information Pack, please contact State Office on 9735 9000 and we will re-send a pack to you.

I have just received my Group’s weekly report of Active Kids Voucher Redemptions, and have noticed that some youth members who I have been advised have claimed their Active Kids vouchers haven’t been listed. Why is this the case?

The weekly report of Active Kids Voucher Redemptions sent to Groups each Friday capture the names of youth members who have successfully claimed their Active Kids vouchers, as at close of business Wednesday of that week. Any vouchers claimed after will be listed in the following week’s report.

Submissions that have come back with errors on redemption are not included in the list, as they require further action by the Members Services team. These errors include:

  • First Name or Surname entered is not consistent with the First Name or Surname listed on ScoutLink,
  • The wrong Date of Birth entered in the form,
  • Incorrect Scouts NSW membership number, and/or
  • Incorrect Active Kids voucher number.

In the case of an error on redemption, a member of the Members Services Department will contact the youth member’s parent or carer directly via phone or email to obtain the correct details and process the claim.
