Becoming an Adult Helper is simple!

Whether you want to become a parent helper who volunteers for duties such as Scout hall set up or clean up, or a member of the Group Committee, or are simply attending an overnight Scouting activity with your child, becoming an Adult Helper in Scouts is a simple process.

All Support Committee Members, Adult Helpers and Adults who attend an overnight Scouting activity are required to hold a Working With Children Check and complete an Adult Helper Application Form (A2). This includes parents and guardians who provide assistance and attend any overnight Scouting activities with their children.

FAQs for Applicants

All new Support Committee Members, Adult Helpers and Adults who attend an overnight Scouting activity must complete an A2 Form. This includes parents and guardians who attend any overnight Scouting activity with their children. The A2 is now available online and can be used as an alternate to the traditional paper-based A2 Form.

While we recommend using the online version of the A2, the paper-based form is still available and accepted.

We’re so glad you asked! To ensure you can complete the online A2 as easily as possible, we recommend you have the following on hand:

  • A copy of your current Working With Children Check number and expiry date (or Working With Children Check application number). Scouts NSW requires all adults who attend any overnight Scout camp or activity, and all parents or guardians who attend overnight Scout camps and activities with their child, to have a Working With Children Check. You can apply for a Working With Children Check online via the Service NSW website here.
  • The names and contact details for two referees (other than relatives or members of the Scout Association) who may be contacted for a Reference Check.
  1. Apply for your WWCC online at https://wwccheck.ccyp.nsw.gov.au/Applicants/Application.
  2. Fill in the online form ensuring the name you enter matches your identity document exactly. When you finish filling in the online form, you will be given an Application Number (APP Number).
  3. Visit a Service NSW centre or motor registry to present your APP Number and identity document.
  4. Wait to receive your WWCC number and expiry date.

After you submit your online A2 Form, you will receive an email confirmation with a copy of your application. A copy will also be sent to your Region Office.

Your Group Leader will receive a separate email notification with a request to review your application. Once reviewed, your Group Leader may choose to contact your referees and will then endorse your application.

After an applicant obtains their Working With Children Check, the process for the online Adult Helper Application Form is:

  • Step 1: Adult Helper applicant completes the online A2 form. Upon submission, a copy of the application is automatically emailed to the applicant, Region Office and Group Leader.
  • Step 2: The Group Leader receives the email notification and clicks a link to a secure web page where they can review the application online.
  • Step 3: Once the application is reviewed, the Group Leader completes the online Group Leader endorsement (in the same secure web page).
  • Step 4: Once endorsed, a PDF copy of the A2 form is automatically emailed to Region Office for processing and the Group Leader for their records.
  • Step 5: Region Office staff process the application on Scoutlink.

There have been recent legislative changes surrounding the Working With Children Check (WWCC) that are important for anyone who works or volunteers with children. According to the new legislation, all Adults who volunteer on overnight camps are required to hold a WWCC.

This means that all adults attending overnight activities (including parents and guardians) who do not currently hold a WWCC will be required to obtain a WWCC and fill in an Adult Helper Application Form (A2).

The WWCC legislation allows volunteers to participate in volunteer work while their WWCC application is being finalised. This means the adult/parent will be able to attend the overnight camp as long as they have a current WWCC Application Number (APP Number).

If an adult/parent is attending an overnight Scouting camp and is not in the position to complete the WWCC application process, they must:

  1. Apply for their WWCC online at https://wwccheck.ccyp.nsw.gov.au/Applicants/Application.
  2. Fill in the online Application for Adult Helper Form (A2), making sure to enter their WCC Application Number (APP Number) in the specified field.

The adult/parent must complete the WWCC application process by visiting a Service NSW centre or motor registry within 7 days of attending the overnight camp.

As a Group Leader, it is your responsibility to endorse the A2 form via the online Group Leader endorsement form before the commencement of the overnight Scout activity or camp.

As a Group Leader, it is your responsibility to:

  • Monitor your emails for any new Adult Helper applications. These emails will be marked ‘FOR ENDORSEMENT’ in the email subject line.
  • Review each application before completing and submitting the online Group Leader endorsement form.
  • Notify your Region Office if there are any issues with an application.
  • Ensure ALL adults attending overnight camps and activities have a current WWCC and have submitted an A2 Form. You are also responsible for endorsing these applications before the commencement of the camp or activity.

A hyperlink to the online endorsement form will be displayed in each A2 email notification sent to Group Leaders labelled ‘FOR ENDORSEMENT’. Each hyperlink is unique, and leads to a secure web page.
