Become a Youth Member

All new Youth Members are currently required to complete a Youth Membership Application Form (Y1) to officially join Scouts NSW. This form can now be completed online via the button below.

For those not wishing to use the online form, the paper based Y1 form will still be accepted and can be found here.

Updates to the online Youth Membership Application Form (Y1) - February 2019

Several updates have been made to the online Youth Membership Application Form (Y1) in time for the new Scout Year to further streamline the online Y1 process for parents, Group Leaders and Regions. These updates include:

  • A new workflow to eliminate the need for parents to email their child’s Y1 form to their Group Leader. The Group Leader will receive an email notification with a copy of the Y1 form immediately after the parent clicks 'Submit'.
  • An online endorsement form to simplify the endorsement of applications. Group Leaders can access the online endorsement form via the hyperlink displayed in each Y1 email notification.

FAQs for Parents

All new youth member applicants who apply for membership with Scouts NSW must complete a Y1 Form. The Y1 is now available online and can be used as an alternate to the traditional paper-based Y1 Form.

Usually, a child can trial Scouts with their local Scout Group prior to joining. Once your child has trialled Scouts and is ready to join, your Section Leader will provide you with a flyer that contains instructions for completing the Y1 Form.

After you complete the Y1 Form, a copy of your application will be sent to your Group Leader for endorsement. Once endorsed, you will receive an invitation to join CareMonkey – where you will be required to set up a CareMonkey profile and provide your child’s medical details.

Your Leader will provide you with a flyer containing the details of where to access the Y1 form and the email address to send it.

Yes – while we recommend using the online version of the Y1, the paper-based application form is still available and accepted.

FAQs for Group Leaders

All new youth member applicants who apply for membership with Scouts NSW must complete a Y1 Form. The Y1 is now available online and can be used as an alternate to the traditional paper-based Y1 Form.

Scouts NSW has made this form available online to simplify the process for a prospective youth member to join Scouts NSW. The online Y1 Form will also streamline the endorsement process for Group Leaders and Regions and eliminate the need for a paper-based form.

While some sections of the Youth Membership Application Form have been reordered to assist Regions with data entry, the content of the Y1 Form has not changed.

The process for the online Youth Membership Application Form (Y1) is detailed below:

  1. Step 1: Group Leader downloads the customisable ‘Become a Youth Member’ flyer template, edits the template with the Scout Group’s details and distributes the flyer to each Section Leader.
  2. Step 2: Section Leaders distribute the ‘Become a Youth Member’ flyer to each prospective member’s parent/primary carer, directing them to the Youth Member Application Form (Y1) on the Scouts NSW website.
  3. Step 3: The prospective member’s parent/primary carer completes the online Y1 Form.
  4. Step 4: A copy of the completed Y1 Form is emailed to the parent/primary carer, Region Office and Group Leader. This copy of the form is UNENDORSED.
  5. Step 5: The Group Leader opens the email notification and assesses the (unendorsed) Y1 Form.
  6. Step 6: The Group Leader returns to the email notification and clicks the hyperlink to the Online Endorsement Form.
  7. Step 7: The Group Leader completes the Online Endorsement Form to endorse the applicant.
  8. Step 8: The Region Office receives a copy of the ENDORSED Y1 Form for processing.

As a Group Leader, you will need to endorse the form, and then forward it to your Region Office.

ENDORSEMENT

Please provide endorsement in your email to Region Office – e.g. “I recommend this applicant for appointment as a Cub Scout in 1st Scout Group. Yours in Scouting, Group Leader, 1st Scout Group.”

Scouts NSW has prepared a customisable ‘Become a Youth Member’ flyer template for Group Leaders to customise and distribute to the parents/primary carers of prospective youth member applicants who will need to complete a Y1 Form.

You can download the PDF customisable flyer here and the Microsoft Word customisable flyer here. Simply use Adobe Acrobat or Microsoft Word to fill in the custom field with your Group Name. Then print out the flyer and distribute it to prospective members!

Yes – while we recommend using the online version of the Y1, the paper-based application form is still available and accepted.

As a Group Leader, it is your responsibility to:

  • Ensure your Section Leaders each have copies of the ‘Become a Youth Member’ flyer to distribute to prospective youth members who need to complete a Y1 Form
  • Monitor your emails for any new Youth Membership Applications
  • Assess each Youth Member Application before completing the Online Endorsement Form
  • Notify your Region Office if there are any issues with a Youth Membership Application.

The online Y1 Form does not include a Medical Details section. This component of the application is completed via CareMonkey. Groups that are not on CareMonkey must direct their parents/carers to the paper-based Y1 Form.

Group Leaders will receive a Y1 email notification each time an applicant submits a Youth Membership Application Form online.

The email notification will be have the subject line “FOR ENDORSEMENT: A New Youth Membership Application Form (Y1) has been submitted to XXX”.

The email notification will look like the example below.

 

A hyperlink to the online endorsement form will be displayed in each Y1 email notification sent to Group Leaders. Each endorsement form has a unique link.

The form includes a few statements for Group Leaders to agree to, as well as a free text field where Group Leaders can indicate the Formation/Section name for the applicant to be registered in.

This free text field is only applicable for Groups with multiple Joey Mobs, Cub Packs, Scout Patrols and/or Venturer Units.
