Scouts NSW Email Addreses and Scouts Office 365 Online are Coming Your Way!

We are excited to let you know that, as a key initiative of the Scouts NSW Strategic Plan, we will be providing targeted adult members across the Scouts NSW organisation with dedicated Scouts NSW Email addresses.

Additionally, each Scouts NSW email address holder will also receive access to the Scouts Office 365 Online E1 Licence suite of Microsoft productivity, collaboration, and file and document sharing and storage tools online, including Word, Excel, PowerPoint, OneDrive, SharePoint, Teams, Yammer, and OneNote.

Why are we issuing Scouts NSW email addresses?

We are providing Scouts NSW email addresses to adult members as a commitment improve and centralise organisational wide communications, to enhance data and information security in line with Australian Privacy Laws and Child Protection Legislation, and to ensure a controlled approach to accessing Scouts NSW systems, networks, and platforms.

With your Scouts email address, you’ll know that all communications are coming to a secure, central point that you can access from anywhere, on any device, reliably. This will help improve your experience as a Scouts member or volunteer.

This will also provide members with a new level of connectedness and engagement. And, by improving real-time communication and collaboration, we’ll be able to strengthen connections at a local and state-wide level.

Who will receive a new email address? 

All adult members that have an official Scouts NSW appointment will be provided with a new Scouts Email Address. This includes:

  • Group Leaders/Leaders in Charge
  • Group Treasurers and Group Chairperson
  • District Commissioners (Section)
  • Region Commissioners (Section)
  • Deputy Region Commissioners
  • Fellowship Members
  • Rover Crew Leaders
  • Section Leaders

If you think you should be included in this implementation and don’t receive an email from us please check that your member details are up to date in ScoutLink.

When is this happening? 

We’re rolling Scouts NSW email addresses and Office 365 Online out to our members in scheduled implementation tranches beginning on the 21 October. We expect the complete implementation to take eight to ten weeks:

The planned implementation schedule:

  • Phase 1 – RIVERINA/THE GOLDEN WEST/NORTH COAST
  • Phase 2 – NORTH WEST/SOUTH COAST & TABLELANDS/HUME
  • Phase 3 – SYDNEY NORTH/HUNTER & COASTAL
  • Phase 4 – SOUTH MET/GREATER WESTERN SYDNEY
  • Phase 5 – Section Leaders, Rover Crew Leaders & Fellowship members

Keep an eye on your current email account for an email from Microsoft Office 365 closer to the date that’s relevant for you. That email will include all the information you need to set up your new Scouts NSW email account and Office 365 Online access.

Note: Please make sure that you preferred email is set up and correct either in Scoutlink or in CareMonkey as this is the email address that will be used to send out information on setting up your Scouts email.

How will we be notified? 

On the rollout day, you will receive an email to your normal email account that includes your new Office 365 Scouts NSW email address, along with instructions for setting your email account up. If you have any questions, you should visit the FAQs in the first instance , or contact the project team on [email protected], or email [email protected]

What is I am already an Office 365 user? 

If you use Office 365 for personal use, when you set up your new Scouts NSW account you will simply need to log out of your personal account to access the Scouts account and then log back into your personal account to access your non-Scouts emails.

If you use Office 365 in your Group, again, as above when you set up your new Scouts NSW account, you will need to log out of your group Office 365 account. Once you are using your new email account, it will be up to your Group to decide if you want to transfer any of your data over to your Scouts NSW Office 365 account.

As a state team member, if you were part of the previous rollout of Office 365 in 2018, you will not receive any changes to your account it will continue to run as normal.
